Part One

Setting Up a Season

For admins, officers, and secretaries

Set the Active Season

Before any data entry, tell the site which season is current. All schools, bowlers, schedules, and scores are scoped to this season.

  1. 1Open Admin Tools from the Admin menu.
  2. 2Find the Active Season panel and enter the season name (e.g. 2026-2027).
  3. 3Save it. A banner at the top of the site confirms the active season.
  4. 4Done when the season name appears in the top banner and on the Season Readiness page.

Create Divisions

Divisions group schools (e.g. Varsity, JV, or geographic divisions). Create one division per competitive group for the season.

  1. 1Open Data Entry → Divisions.
  2. 2Click Add Division, enter the name, and save.
  3. 3Repeat for each division your league uses this season.
  4. 4Done when every division you need appears in the Divisions list.

Add & Configure Schools

Each school needs a division, a home venue, and gender flags (has boys team / has girls team) so rosters and schedules work correctly.

  1. 1Open Data Entry → Schools.
  2. 2Add a new school or open an existing one to edit.
  3. 3Assign the school to a division.
  4. 4Set the bowling alley (home venue) and turn on the Boys and/or Girls team flags.
  5. 5Done when every school has a division and the correct gender flags.

Roster Bowlers

Add each bowler to their school's roster for the season. Bowlers are scoped by season, so you roster them fresh each year.

  1. 1Open Data Entry → Bowlers.
  2. 2Click Add Bowler, enter first/last name, school, gender, grade, and jersey number.
  3. 3For bulk adds, use the Import Bowlers option with an Excel file.
  4. 4Done when each school has at least 5 bowlers per gender it fields a team for.

Invite Coaches & Link Accounts

Coaches need a portal account to record scores. Invite them by email, then link their account to their school.

  1. 1Open Data Entry → Manage Coaches (admins/secretaries).
  2. 2Enter the coach's email and click Send Invite. They'll get a setup email.
  3. 3After they register, find their account in Portal Access Accounts, set their role to Coach, and assign their school.
  4. 4Done when each school has a linked coach account shown on Season Readiness.

Build the Schedule

The schedule drives match links, reminders, and the Expected Results tracker. Create or import all weekly matchups before play begins.

  1. 1Open Schedule → Schedule.
  2. 2Add matches week by week, or use Import Schedule to load an Excel file.
  3. 3For each match, set the week, date, home/away schools, gender, and venue.
  4. 4Done when every week has its matchups and Season Readiness shows matches scheduled for each school.

Verify Season Readiness

The Season Readiness dashboard is your final checklist. It flags any school missing a division, roster, coach, or schedule before play starts.

  1. 1Open Admin → Season Readiness (or Data Entry → Season Readiness for officers/secretaries).
  2. 2Review the readiness percentage and the per-school table.
  3. 3Use the inline fix buttons to assign divisions, add bowlers, or invite coaches without leaving the page.
  4. 4Done when the readiness bar is at 100% and no schools show red gaps.

Part Two

Using the Site

For coaches and team managers

Log In & Accept Your Invite

Coaches access the site with an email invite. You must register once before you can record scores.

  1. 1Open the invitation email from the league and click the link.
  2. 2Complete registration with your name and a password.
  3. 3After logging in, ask an admin to set your role to Coach and assign your school if not already done.
  4. 4Done when you can log in and see the Data Entry menu.

Find Your Team & Bowlers

Before a match, confirm your roster is correct and your bowlers are listed for the season.

  1. 1Open Data Entry → Bowlers.
  2. 2Filter by your school to see your roster.
  3. 3If a bowler is missing, add them (admins/coaches/officers can) or ask your league officer to add them.
  4. 4Done when your full roster appears under your school for the current season.

The Weekly Scoresheet Cycle

Each week follows the same loop: the league emails you a match link, you enter (or upload) the scores, the statistician reviews and approves them, and standings update automatically. Here's how the pieces connect.

  1. 1Early in the week, the league's scheduled workflow emails each coach a link to their upcoming match (sent from info@wpibl.info, with scores@scores.wpibl.info as the reply-to). A reminder follows if scores haven't come in yet.
  2. 2Click the match link to open the Record Match Scores wizard, or go to Submit Results to choose how you'll send scores: online entry, upload a scoresheet photo/PDF, or email the scoresheet to the league inbox.
  3. 3Online entry creates a pending MatchSubmission with an official PDF scorecard. Uploaded or emailed scoresheets create a pending submission (or EmailScoresheet record) with your attachment for the statistician.
  4. 4The statistician opens Match Submissions (or the Email Inbox for emailed sheets), reviews your scores against the attachment, and approves them. Approving imports the bowler Score records and marks the match complete.
  5. 5A backup copy of the official scorecard is emailed to scores@scores.wpibl.info for the audit trail.
  6. 6Standings, bowler rankings, and the dashboard update automatically once scores are imported — all scoped to the active season.

Record Match Scores

After a match, enter scores through the Record Match Scores wizard — a guided 5-step flow for both teams and genders.

  1. 1Open Submit Results → Record Match Scores (or the link in your weekly reminder email).
  2. 2Select the match (week, schools, gender) — the wizard matches it to your schedule.
  3. 3Add bowlers to each team's roster and enter up to 5 scores per game per team.
  4. 4Review the totals, sign off as coach, and submit.
  5. 5Done when you see the confirmation screen with a scorecard and a confirmation number.

Submit Results (Other Methods)

If you can't enter scores online, you can upload a scoresheet photo/PDF or email it to the league inbox instead.

  1. 1Open Submit Results from the nav to see your three options.
  2. 2Online Entry takes you to the Record Match Scores wizard (Chapter 3).
  3. 3Upload Scoresheet lets you attach a photo or PDF of the paper scorecard for the statistician to review.
  4. 4Email Scoresheet sends your attachment to the league's scores inbox for manual entry.
  5. 5Done when your submission shows as received (the statistician will approve and import it).

Read Standings, Rankings & Match Center

Once scores are approved, standings and bowler rankings update automatically. Use the Match Center to review any completed match.

  1. 1Open Home to see the dashboard with league stats, top bowlers, and team standings.
  2. 2Use the Standings page for full division standings, and Bowler Rankings for individual leaders.
  3. 3Open Schedule → Matches and click any match to open its Match Center for the full scorecard.
  4. 4Done when you can find your team's record and your bowlers' averages at any time.
